Privacy policy
What we collect when you visit, reach out or work with us, why we collect it, who sees it, and the choices you have.
Effective October 27, 2026.
The short version
- We collect what you give us, like your name, phone, email and what you're looking for, so we can help you buy, sell, rent or lease.
- We never sell your personal information.
- We don't sell or share your mobile number or SMS consent with third parties for their marketing.
- This site has no advertising or analytics trackers.
- You can ask us to show you, correct or delete what we have about you.
Who we are
TC West Realty Group is a team of Texas real estate agents brokered by Sky Wealth Real Estate LLC (Texas Real Estate Commission broker license #9014749-BB, designated broker Sabreena Wadhwani, 12222 Merit Dr #130, Dallas TX 75251). In this policy, "we" and "us" mean TC West Realty Group and its agents. Our broker supervises our work and keeps transaction records as Texas law requires. Our Information About Brokerage Services explains how brokerages work for you.
This policy covers tcwestrealty.com, our client portals and home value reports, and our back office for team members (admin.tcwestrealty.com).
Questions or requests about your information: email [email protected], or text or call (832) 492-1734. Travis West is our team lead.
What we collect and how
What you give us
- Our forms (Get started, home value and rent estimate requests, each agent's page): your name, mobile number, email, how you'd like us to reach you, what you want to do, and the answers you pick, like area, price range, home details, timing, financing and pets, plus any note. For a home value report or rent estimate, the property's address.
- Saving a home in home search: your name, your email or mobile number, the homes you save, and whether you want to hear about similar homes.
- The Learning Library: your name, email, phone if you add it, and what you're most interested in.
- Shop orders, when the shop is open: your name, mobile, email, and your shipping address if you want it shipped.
- Working with us: what it takes to represent you, such as property details, agreements, contracts, documents, dates and messages with your agent. You sign in to your client portal with a code we email you. If you set a 6-digit PIN, we keep only a scrambled (hashed) version of it.
- Anything you text, call or email us.
What we collect automatically
- Homes you viewed. Your browser keeps a short list of the last homes you looked at on this site. When you send a form, that list goes with it so your agent knows what caught your eye.
- Your network address and browser. Our hosting provider sees your IP address and browser details on every visit. We use IP addresses to stop spam and abuse; form limits per network last an hour.
- Sign-ins. When you sign in to a client portal or the back office, we record the time, your IP address, the approximate area your network is in (such as city and region), your device and your browser. Only our team lead can see this history. It's there to spot anyone signing in as you.
- Portal and report visits. When you open your client portal we note the time, so your agent knows you've seen the latest update. Home value report links count how many times they're opened.
From other sources
- Listing and sales information from the multiple listing services (MLS), including through MLS Grid, and public records.
- Our broker, and the lenders, title companies, other agents and others working on your transaction.
- People who refer you to us.
- Reviews you post about us on Google, which we show on this site with the name Google shows.
How we use it
- To reach you the way you asked, and to help you buy, sell, rent or lease.
- To prepare home value reports and rent estimates. An agent reviews each one before it goes to you.
- To run your transaction: dates, documents, reminders and updates in your client portal.
- To send you homes and information you asked for.
- To keep the site and your sign-in secure, stop spam and fix problems.
- To meet our legal and licensing duties, including the records our broker must keep.
- To train and support our team.
We don't use your information for targeted advertising, we don't sell it, and we don't use it for automated profiling that makes decisions about you.
Texts and calls
- When you tick the consent box on one of our forms, you agree that TC West Realty Group and its agents may call, text and email you about real estate services at the number and email you gave, including by automated means. Agreeing isn't a condition of buying any property or service.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to any text from us to stop texts. Reply HELP for help, or reach us at (832) 492-1734 or [email protected]. You can also tell us any other reasonable way, by reply, call or email, that you don't want calls or texts.
- We don't sell or share your mobile number or SMS consent with third parties for their marketing. Text message opt-in data and consent aren't part of any sharing described in this policy.
- Our emails come from tcwestrealty.com addresses. Agents write from their work email (Google Workspace). Website, portal and report emails are sent through Resend.
- We send replies, confirmations, sign-in codes, updates on your transaction, value reports, and homes or news you asked for.
- Every marketing email has our postal address and a way out: reply "unsubscribe" and we'll stop. Emails about a transaction you're in, like sign-in codes and updates, keep coming while it's open.
- How our team handles email. Email about your transaction is part of your file. We file attachments, like a signed contract, to your transaction record, and our AI tools may read them to fill in dates and terms (see AI tools). Every website message is also copied to our team lead so none get missed.
- Wire fraud warning. Never trust wiring instructions that arrive by email or text. Call your title company at a number you already know before you send money.
Who we share it with
We share only what's needed, with:
- Our broker, Sky Wealth Real Estate LLC, which supervises our work and keeps transaction records.
- Companies that run our tools, only to do that work for us:
- Cloudflare hosts this site and our back office, stores our records, and runs the Turnstile spam check on our forms.
- Resend sends our website, portal and report emails.
- Google provides our team's email and file storage (including nightly backups of our back office records), the fonts on this site, and our Google reviews.
- Anthropic provides Claude, the AI tools our team uses.
- When you check a property address on our forms, the address goes to the U.S. Census Bureau's address lookup, and the street name to Photon, an OpenStreetMap search from komoot, to confirm it.
- OpenFreeMap supplies the map pictures on home search.
- E-signature services, when you sign documents with us, and the transaction coordinator who helps our agents.
- People on your transaction, such as lenders, title and escrow companies, inspectors, appraisers and the other side's agent, only what's needed to carry it out. When you list a home with us, its details and photos go on the MLS and the sites it feeds, as your listing agreement says.
- An agent you agree to be referred to. If you need help somewhere we don't work and you agree to a referral, we send that agent, who may be at another brokerage, your contact details and what you're looking for.
- When the law requires it, such as a subpoena or a Texas Real Estate Commission request, or to protect someone's safety or our legal rights.
- If our team changes brokerages or joins another business, our records go with us, still under this policy.
We never sell your personal information, and we don't share it with anyone for their own marketing.
Cookies and similar
Cookies
We use cookies only to keep you signed in. None of them track you.
- tcw_c: keeps a client signed in to the client portal, for 30 days, or a year if you choose "Keep me signed in".
- tcw_h and tcw_a: keep a team member signed in to the back office, for 30 days, or a year if they choose to stay signed in.
- tcw_team: tells this website a team member is signed in, so it can show them the back office menu.
Storage in your browser
Some things stay on your device and come to us only when you send a form: the homes you viewed, the homes you saved with the name and contact you used, whether you've opened the Learning Library, your shop cart, and small settings like a tip you closed. The team sign-in screen remembers your email and whether you use a PIN, never the PIN itself. A new team member's onboarding page keeps its private link only in that browser tab, until the tab is closed. Clearing this site's data in your browser removes all of it.
Other companies that see your visit
To show some parts of our pages, your browser connects straight to other companies, which see your IP address and browser details under their own privacy policies: Google Fonts (our typeface), Cloudflare Turnstile (the spam check on our forms, which looks at signals from your browser to tell people from bots), OpenFreeMap (map pictures on home search), and YouTube, for any Learning Library video that plays from YouTube (in its privacy-enhanced mode).
This site has no advertising cookies, analytics or tracking scripts, or social media pixels.
AI tools, in plain words
Our team uses AI tools, mainly Anthropic's Claude, to help with the busy work:
- Reading documents and emails sent to us about your transaction, to file them and fill in dates, prices and terms in our back office. Some of this runs on our server, which sends the document (a PDF) to Anthropic's AI service. Our team can see every change and correct it.
- Pulling comparable sales from the MLS for home value reports and rent estimates. An agent reviews every report before it goes to you.
- Putting together reminders and daily to-do lists for our agents.
To do this, the information goes to the AI provider to be processed. AI doesn't decide whether we work with you or anything else about you; people on our team do. The voice in our Learning Library videos is an AI voice, not a licensed agent.
Team members and agents
This part is for people on our team: agents, our transaction coordinator and anyone else with a back office sign-in.
- Your profile. We keep your name, work and sign-in emails, phone, license number, role, photo and bio, your training progress, your sign-in history, and your deals, leads and money. The website shows your name, photo, bio, phone, email and license number, never your money. Agents see only their own deals, trainings and money.
- Joining the team. Your private onboarding page collects your legal and preferred name, personal email and phone, license number, start date, markets, bio, headshot, social handles, business card details and how you'd like to be paid (Zelle, Apple Pay or ACH; we never ask for account numbers there). Travis and our transaction coordinator see your onboarding checklist. When Travis approves your website page, it shows your name, photo, bio, phone, work email, license number and Instagram handle if you gave one.
- Your W-9. If you give us a W-9 so we can pay you, it's stored encrypted and only our super admin, Travis, can open it. It isn't in our nightly backups, our AI tools can't reach it, and it never shows in a client portal. Only Travis sees how you'd like to be paid.
Connect my Gmail (optional)
- The back office's Connectors page can connect your Gmail, so our email helper can file paperwork from your work inbox the way it does for Travis. Nothing happens unless you connect, and you can disconnect at any time. If you choose Not now on the start page's introduction to Connectors or its "Connect your email" suggestion, or finish its quick tour, we remember that with your sign-in, so it doesn't come back on another device. Disconnecting removes our access at Google, and leaving the team or losing your back office sign-in disconnects you.
- It asks Google for read-only access. The first check looks back over the last 14 days; after that it looks only at new email. For each email it reads only the headers (from, to, cc, subject, date, the message ID and Gmail's sender checks) and keeps the email only when one of those addresses is a contact on your own deals or leads, or it comes from an e-signature service. Everything else is dropped on the spot: not stored and not logged. Only deal-related email is ever filed.
- "Ask me first" is the default for every team member (Travis's own inbox starts on filing automatically). Emails it keeps wait on your own "From your email" list until you choose File to this deal, Not a deal item, or Never from this sender. Only emails you approve get filed. You can switch to filing automatically. When you decline an email, it's deleted from the list, leaving only the date and "declined".
- For an email it keeps, our back office stores those headers, the deal or lead it matched, and the names and sizes of its attachments. The email's text is never stored there. The text and attachments are fetched from Gmail only when an email is filed.
- How approved email is read. An approved email is filed either by our server, which sends each PDF attachment (only the PDF, nothing else from your email) to Anthropic's AI service to work out what it is and fill in your deal, or by our email helper, which reads the approved email and its attachments with the same AI tools. Either way, the document is filed only on your own deal, and anything it can't verify waits for Travis or our transaction coordinator to check.
- Your own log ("What the helper read") shows when you connected, disconnected or changed a setting, and each email the helper kept, read or filed for you. An email waiting on your "From your email" list joins the log once you approve it.
- Travis can see who has connected and when it last checked, never your mail or your log. Your inbox is never handed over to Travis or anyone else.
- TC West Realty Group's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Gmail data only to file your deal paperwork for you. We don't use it for advertising, we don't sell it, people don't read it except you or with your OK (or for security or legal reasons), and we don't use it to develop, improve or train generalized AI or machine learning models.
How long we keep records
- Transaction records: at least four years after a closing, or after a contract or agreement ends, as the Texas Real Estate Commission requires of our broker. Our broker may keep its own copies longer.
- Leads from our forms, home search and the Learning Library: until you ask us to delete them, unless the law or a legal hold, such as a dispute, means we have to keep them.
- Opt-outs: kept, so we remember not to text, call or email you.
- Short-lived items: sign-in codes expire after 10 minutes, spam limits after an hour, onboarding links after 30 days, and we keep the newest 30 nightly backups of our back office.
- Sign-in history: kept to protect accounts.
Your choices and rights
- See, correct, delete or get a copy of the personal information we have about you. Email [email protected] or text (832) 492-1734. We'll first confirm it's really you, for example by writing back to the email we have.
- Stop texts (reply STOP), marketing emails (reply "unsubscribe") or calls (just tell us).
- Clear your browser's data for this site to remove what's stored on your device.
Texas residents. The Texas Data Privacy and Security Act gives Texas residents the right to confirm whether a business processes their personal data, to see it, correct it, delete it and get a portable copy, and to opt out of its sale, of targeted advertising, and of profiling that has legal or similarly significant effects. Many small businesses are outside most of that law, but you can make any of these requests to us either way. We don't sell personal data, we never sell sensitive data, and we don't use personal data for targeted advertising or that kind of profiling. If we say no to a request, we'll tell you why, and you can ask us to look at it again by replying. If you're still not satisfied, you can contact the Texas Attorney General.
Some records can't be deleted because the law requires us to keep them; we'll tell you when that's the case. Asking never changes how we treat you.
Children
Our website and services are for adults. We don't knowingly collect information from children under 13. If you think a child sent us information, tell us and we'll delete it.
Security
- Every page is sent over an encrypted connection (HTTPS).
- Client portals and the back office use one-time sign-in codes that expire in 10 minutes, or a PIN we keep only as a scrambled hash. A PIN turns off after 5 wrong tries, and team PINs expire after 90 days.
- Sign-in cookies travel only over HTTPS and can't be read by scripts on the page.
- Team members see only what their role needs, and paperwork about our pay never shows in a client portal.
No system is perfectly secure. If a breach affects your personal information, we'll tell you as the law requires.
Changes to this policy
When we change this policy, we post the new version here with a new effective date. For a big change in how we use your information, we'll also email the clients and team members we have an address for.
Need this policy another way, such as large print or read to you by phone? See our accessibility statement.
